Policy The Plainville Public Schools administration follows established procedures for the use of school volunteers. These procedures provide for the safety of students as they work with volunteers and ensure effective registration, orientation, assignment, and evaluation of volunteers. The school principal or his/her designee is responsible for seeing that proper procedures are followed.

The school principal or his/her designee reviews all requests for volunteers and their assignments in light of school initiatives and organized programs. Proper assignments may include, but are not limited to, mentoring students, tutoring students, supporting teachers in the classroom, chaperoning field trips, participating in school projects and assisting at school activities. Professional responsibilities, such as the diagnosis of student needs, prescription of instructional materials, selection of appropriate materials, presentation and teaching of curriculum content, counseling of students, discipline of students, assessment of student programs and evaluation of student achievement are not appropriate for volunteers.

The school principal or his/her designee also considers the volunteer's qualifications for the particular assignment. The Superintendent of Schools or his/her designee approves qualified volunteers who serve the educational interests of the school district.

Background checks, local, state and national criminal history records checks (including fingerprinting) may be completed for all volunteers. 

A state criminal history will be completed for volunteers who:

  • are not under the direct supervision of a certified staff member and have ongoing contact with students;
  • may have unsupervised access to a school's main office or the office of a school official

Examples include volunteer coaches, volunteer chaperones for overnight and extended field trips and travel programs.

A list of currently authorized volunteers and their assignments is maintained at each school. Records of assignments and attendance are also kept on forms prescribed by the School Volunteer Coordinator.

All volunteers are supervised by and work under the direction of a certified staff member. The school principals oversee the volunteers in their schools. Those volunteers who undertake an initial or new assignment participate in the registration, orientation, assignment and evaluation process normally expected of all volunteers. For example, orientation on students' safety and appropriate supervision/leadership protocols are provided at each school for all volunteers.

Each volunteer signs in and out in the school office at the beginning and end of each school visit. When starting his or her visit, the volunteer is provided an identification badge that must be worn by the volunteer at all times while he/she is on school grounds.
