PLAINVILLE BOARD OF EDUCATION Committee Minutes
Committee: Plainville Community Schools’ Steering Committee
Date: December 7, 2004

Chairman Bill Petit called the meeting to order at 7:00 pm.
Mr. Petit introduced Kathy Pugliese, Town Council Representative, and Greg Ziogas, Plainville High School Principal, and welcomed them to the meeting. He hopes that a representative from the Town Council will be able to attend all the Steering Committee meetings.
Alan Schutz, Business Manager, explained to the committee that there were 10 total packages from Architectural Firms that responded to the RFQ for review. He suggested that the committee Force Rank the firms in 1, 2, 3, 4 order. Following selection by individual committee members, a conversation by the committee will determine the firms to be interviewed.
Daniel Dube decides to abstain due to a conflict of interest. The record also reflects that Mr. Dube did not vote for any of the Architectural Firms. The company for which he works, has been proposed as the estimating service for one of the Architectural Firms that responded.
Mr. Schutz told the committee that the firms did not provide dollar figures for services with the qualifications.
The committee began review of the qualifications at 7:10 pm.
Discussion resumed at 7:30 pm regarding their selections. Alan Schutz poled the committee by a show of hands for their choices 1-4. The committee discussed whether to interview 3 or 4 companies. They decided to interview all 4 of the firms. (The vote was 7 members in favor of interviewing 4 companies and 2 members in favor of interviewing 3 companies).

The committee decided on the following Architectural Firms to interview: 1. Jeter, Cook & Jepson 2. Schoenhardt 3. Fletcher Thompson 4. The Slam Collaborative
The committee will interview the Architectural Firms on Tuesday and Wednesday, December 14 and 15, 2004 from 6:30 – 8:30 pm in Room 400 at Plainville High School. A discussion will follow the second presentation on December 15 and a decision will be made.
Alan Schutz will ask for a sealed proposal with their fee.
The committee would like to interview the companies in reverse order starting with The Slam Collaborative and ending with Jeter, Cook & Jepson.
The committee discussed how the Communications Committee will present the plans for the referendum in June to the public.
• They will visit local organizations and PTO’s and discuss the Long Range Plan. • They would like to get the Town Finance Director, Bob Metcalf involved by showing how the Long Range Plan will save the town money if the project is approved now.
The committee discussed how the project could be broken down by dollar amounts, how long they have to complete each project, how long the money is available, reimbursements and dovetailing the projects. The members feel they should stick to the Long Range Plan.
TOM WAZORKO MADE A MOTION TO ADJOURN THE MEETING. RON PAVANO SECONDED THE MOTION. THE MOTION PASSED UNANIMOUSLY. The meeting was adjourned at 8:10 pm.
